Primary responsibilities include ensuring accuracy and timeliness of all assigned client billings. Manages specific billing deadlines, month end and year-end processes. This position reports to the Director of Financial Operations.
Responsibilities
Review, Audit and Process all monthly billing as well as on an “as needed” basis for all clients assigned.
Review and verify costs, rates and commissions based on approved SOW’s and billing requirements
Review unapproved jobs, unbilled costs and open purchase orders during the billing cycle to ensure all costs are accounted for and seek approvals when necessary.
Reconciliation of all advance bills to ensure proper and timely income recognition.
Communicate with brand, media and production teams to ensure all costs are approved and billed in a timely manner
Bill and reconcile all client costs per client billing/reconciliation schedule.
Properly code and save invoices on the server.
Pull direct client packets, seek approval and send out to client as directed.
Maintain monthly deadlines and coordinate billing processing to ensure timeliness.
Research inquiries as requested through e-mail, voicemail etc. and respond within 24 hours. Seek manager guidance or approval as needed.
Maintain month end and year-end close out of all assigned client invoicing. This includes reporting, job clean-up & closing.
Maintain and or assist in with the Accounting Dept e-mail inbox and trafficking as needed.
Responsible for yearly job clean up and new year prep for clients assigned.
Responsible for assisting manager with on-boarding & off-boarding of clients as needed.
Qualifications
At least 3-5 years related experience in accounting and billing. Experience working in advertising industry a plus.
High school degree with 3+ years related experience and/or training; or equivalent combination of education and experience.
Preferences
Ability to read, analyze and interpret worksheets and reports related to client invoicing
Experience with Advantage, Ad Assist, Media Ocean and MS Office
