Johnson & Johnson is recruiting for a technologically savvy Legal Administrative Assistant with problem-solving skills to support members of the Intellectual Property (IP) Law Department. This position will be based in La Jolla, CA.

  • The Administrative Assistant will support a collegial IP working group which includes patent attorneys, patent liaisons and patent paralegals.
  • The individual will provide administrative support to the team, including maintaining attorneys' calendars; scheduling, planning and organizing meetings; preparing and proofreading documents, spreadsheets and slides; submitting and following up on requests; completing expense reports; downloading and organizing electronic documents; making domestic and international travel reservations; following up on pending matters, including tracking and following up on deadlines; coordinating with paralegals; handling legal documents of a highly confidential nature and a workload that may involve critical deadlines; taking on ad hoc assignments; researching information; and proactively anticipating and handling the administrative needs of the working group.
  • A High school diploma, GED or equivalent is required. Formal education beyond high school is preferred.
  • A minimum of 4 years or equivalent relevant experience. An Associate’s degree will be considered as equivalent to 1 year experience. A Bachelor’s degree will be considered as equivalent to 2 years experience.
  • Intermediate to advanced proficiency with Microsoft Office programs (Microsoft Office: Word, Excel, PowerPoint, Outlook) and learning agility to work with other computer programs and systems.
  • Ability to exercise independent discretion and judgment under minimal guidance while managing multiple priorities, maintaining confidentiality, and operating with perseverance and integrity in a very dynamic global environment is required.
  • Ability to maintain highly fluid calendars respecting multiple time zones with a keen sense of prioritization and time management, and to balance the necessity of running the calendar tightly while establishing a friendly, accessible-to-all atmosphere with peers and all levels of management is required.
  • One or more of the following would be an advantage:
  • Prior experience in a law firm, corporate law department, government agency or another professional environment handling sensitive legal documents.
  • Prior administrative assistant experience supporting a team of five or more professionals.
  • Paralegal certification, Professional Administrative Certification of Excellence or similar certification in administration, paralegal studies or project management.
