Position

Reporting to the Manager, Volunteer Services the Volunteer Coordinator supports the Volunteer Program as the primary point of contact for volunteers at Hire Heroes USA. The Volunteer Coordinator will work with the Director, Manager, and other Coordinators to ensure clients are connected to the right volunteer for their unique situation; clients receive quality service; and volunteers are effective advocates for Hire Heroes. Coordinators spend the majority of their time managing multiple requests for volunteer assistance, communicating with clients and volunteers, scheduling requests, and following up with clients and volunteers once the request has been completed. The Volunteer Program mission is to successfully integrate the time and talent of external stakeholders into Hire Heroes USA programs and services, thereby advancing and enhancing the organization’s mission

Responsibilities

  • Conduct individual and/or group onboarding calls and information sessions for volunteers
  • Coordinate and schedule volunteer activities by communicating with clients, staff, and volunteers
  • Respond to clients and volunteers with exceptional customer service, ensuring timely and clear communications; work to resolve misunderstandings promptly
  • Use Salesforce reports and dashboards for efficient identification and sourcing of volunteers, tracking of requests, processing volunteers, and more.
  • Interact daily with other Volunteer Coordinators to ensure requests are fulfilled as efficiently and effectively as possible
  • Maintain accurate and current volunteer and client records to facilitate program evaluation, accountability, and enable volunteer recognition
  • Contribute to the development of the volunteer program, including projects and subprograms assigned by the Volunteer Program Manager. This may include and is not limited to recruitment of volunteers, researching other volunteer programs to identify best practices and areas for improvement, identifying new opportunities, and contributing to ongoing program support initiatives.
  • Answer questions from - and provide guidance to - staff and volunteers related to volunteer program activities, strategy, and opportunities, including annual office trainings
  • Support Hire Heroes USA program events, departments, and services as needed
  • Perform other tasks as directed
Requirements & Preferences
  • Bachelor’s Degree required
  • Demonstrated conflict resolution and interpersonal communication skills
  • Must be able to maintain clear, frequent, written and verbal communication
  • Ability to work independently or as a member of a team, while productively engaging others at varying levels of seniority within and outside Hire Heroes USA
  • Strong organizational and time management skills with exceptional attention to detail
  • Ability to manage competing priorities and multiple projects and initiatives at one time
  • Demonstrated experience working with volunteers preferred and passion for their successful integration into an organization’s mission
  • At least one year of work experience preferred
  • Experience with Salesforce database preferred
Work Environment/Physical Demands
  • General office environment; temperature controlled
  • Routinely uses standard office equipment, e.g. copiers, phones, computers
  • Sitting for extended periods of time
